2. Scope of processing

We process personal data to operate this website, respond to inquiries, and establish or conduct business relationships. The website does not use web analytics, advertising trackers or embedded third-party content, and it does not use cookies or browser storage for public visitors. Fonts, images and scripts are served through the website itself.

3. Hosting and technical access data

Our website is hosted by Vercel Inc. (USA). Access may involve processing your IP address, access time, requested URL, HTTP status, transferred data volume, browser/device information and, where provided, the referrer. These data are used for delivery, stability, troubleshooting and IT security. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in secure website operation).

Content may be delivered through an international network. Server-side form processing is set to Frankfurt am Main. A data processing agreement (Data Processing Addendum) is in place with Vercel. Processing in the United States may occur; for such transfers the agreement provides for the standard contractual clauses of the European Commission.

4. Contact form

Our contact form accepts inquiries concerning Logistics, Platform & White Label, AI Suite and general matters. Depending on the topic, we process company name, contact person, email address, optional phone number, message, and topic-specific details (such as vehicle count, route, requested date, services, company or fleet information), as well as language and submission time.

We use these details to review and answer the inquiry. The legal basis is Art. 6(1)(b) GDPR where the data subject requests pre-contractual steps or a contract is performed; otherwise Art. 6(1)(f) GDPR (legitimate interest in business communications). Details are transmitted to our website over HTTPS and forwarded to our IONOS mailbox via encrypted SMTP. The website does not maintain its own permanent database of form submissions.

5. Inquiries from independent vehicle transfer providers

The “Drive with us” form is intended exclusively for independent service providers, not applicants for employment. We process in particular name/company, email, operating area, driving licence classes, local/long-distance availability, self-employment status, optional experience, and the language and time of the inquiry. Please do not submit copies of identity documents or driving licences via the form.

Processing serves to assess and initiate a potential cooperation (Art. 6(1)(b) or (f) GDPR, depending on the circumstances). Inquiries are kept in a dedicated folder in our business mailbox. If cooperation is not immediately possible, we may consider contacting you again.

6. Unsolicited applications by email

Applications for employment may be submitted by email independently of the driver form. We process the supplied data to decide whether to establish an employment relationship. The specific legal basis is governed by applicable employment and data protection law. Following rejection, deletion is generally envisaged no later than six months after the application process ends, unless other lawful grounds permit longer retention.

7. Email processing and retention

We use IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany, to send, receive and store business emails. A data processing agreement is in place with IONOS. Website inquiries are not automatically forwarded to CRM systems, Microsoft 365, marketing platforms or other services.

Order inquiries, amendments, price agreements, invoices and other business correspondence subject to retention obligations are archived in the IONOS mailbox and retained in accordance with applicable law. Other messages are deleted when no longer required and no lawful retention ground applies. Email archives will be reviewed at least annually for messages that are no longer necessary.

8. Form abuse prevention

The forms use a hidden control field, a minimum completion time and a submission rate limit. For this purpose a check value is derived from the IP address; it is held in server memory only, evaluated for a ten-minute window and not stored permanently. This helps prevent spam and abuse (Art. 6(1)(f) GDPR). No external CAPTCHA service is used for this purpose.

9. Cookies, analytics and advertising

The public website does not use cookies or browser local storage, nor analytics, marketing or profiling services. We do not offer a newsletter. Using a form does not subscribe you to marketing messages. Occasional advertising emails are sent only where consent or a statutory exception permits them. You may object at any time to direct marketing based on legitimate interests. Before introducing tracking or newsletters, we will update this policy and obtain consent where required.

10. Recipients and disclosures

Technical service providers include Vercel (hosting) and IONOS (email).

In the context of specific vehicle transfer orders, we pass on necessary personal data, where applicable, to the drivers deployed and to independent subcontractors. This concerns in particular names and contact details of contact persons, phone numbers and, where applicable, email addresses, collection and delivery addresses, scheduling and order information, and other details necessary for carrying out the order. Data are passed on only to the extent necessary to carry out the respective order, in particular for making contact, coordinating dates, clarifying queries and properly collecting or handing over the vehicle. The recipients may not use the data for their own advertising purposes or for purposes unrelated to the order.

The legal basis for this disclosure is Art. 6(1)(b) GDPR where the data subject is itself the contracting party. For contact persons and other persons involved who are not themselves contracting parties, such as employees of the client or recipients of the vehicle, the legal basis is Art. 6(1)(f) GDPR (legitimate interest in the proper performance of the order). The role of the subcontractors deployed under data protection law depends on the actual cooperation in each case.

Beyond this, we disclose data to other parties only where necessary for a specific lawful business process, required by law, or otherwise permitted under an applicable legal basis.

11. Your rights

Subject to statutory requirements, you have rights of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction (Art. 18), data portability (Art. 20) and objection (Art. 21). You may withdraw any consent with future effect at any time. Contact office@wedrive4you.de to exercise your rights.

You also have the right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia is generally responsible for our registered location.

12. Required information, security and updates

Providing information through our forms is voluntary. Without fields marked as required, we may be unable to handle an inquiry. No automated decision-making, including profiling within the meaning of Art. 22 GDPR, takes place. The website is delivered over HTTPS and form data are transmitted to the mail server over an encrypted connection. We update this policy if the website, processing activities or applicable law change.
